Your Amazon, Shopify and bank deposits, explained.
Your bank deposits may differ from your sales reports. Amazon and Shopify take out fees, refunds and chargebacks (when a customer’s bank pulls the money back) before they pay you. Fees, refunds and payment timing can help explain the gap. Each month we compare your payouts with your bank deposits, list what was taken out, and give your bookkeeper clear notes. We work with your bookkeeper, not instead of them.
We compare each payout with the deposit in your bank and write down what we can’t match.

Who it’s for
Owners who sell through several stores or marketplaces, such as Amazon and Shopify, and have a bookkeeper or accountant. Especially if your sales reports say one thing, your bank says another, and the books are always a little off.
Why this matters
A deposit is not your sales number.
The platforms pay you what is left after their deductions, on their own schedule.
THE DEPOSIT IS WHAT’S LEFT AFTER FEES
Reports and deposits can differ
Amazon says it generally settles seller accounts every two weeks. Shopify says report totals may differ from bank deposits. Its own help page says, “Because payout timing follows a separate schedule, report totals for a date range might not match your bank deposits for the same period.” So a deposit covers a stretch of time and has fees and refunds taken out. It is not a day of sales.
The IRS form can show a bigger number than your bank
The IRS says payment apps and online marketplaces must send you a Form 1099-K when your payments pass $20,000 in more than 200 transactions. The IRS also says the total before fees on that form isn’t adjusted for fees, refunds, shipping or discounts. So three numbers (your sales, your deposits, the form) can all be different. What goes on your tax return is for your accountant to decide. We don’t give tax advice.
We are not accountants or bookkeepers, and we don’t give tax or accounting advice. We can’t promise every dollar will match. Held-back money, late reports and timing differences can leave items open for a while, and Amazon and Shopify decide those, not us. What you get is a clear list of what we could compare, what we couldn’t match, and what to ask your bookkeeper or accountant. We don’t file chargeback disputes for you, and we can’t fix mistakes already in your books.
How it works
Compare it. List the gaps. Hand it over.
We start with one recent month. We look at your payout reports and your bank lines and list where the money may have gone.
Already have a bookkeeper or accountant? Good. They keep the books and give the advice. We prepare the notes they work from.
1
Compare payouts with the bank
We compare the payouts we agree on with your bank deposits. Anything we cannot match goes on a list, for example a payout with no deposit, or a deposit with no payout.
2
List what was taken out
We list fees, refunds, chargebacks and money held back separately, so your bookkeeper can review each one.
3
Hand your bookkeeper clear notes
You get a short summary in plain words. Your bookkeeper gets the detail and the open questions, and decides how to record them.

Free 1-payout trace
Where did the rest of it go?
Ask for a free 1-payout trace. On a call of 30 minutes or less, we review one payout and list possible reasons for the gap. You share your screen or read us the numbers from one payout report and the bank line it created. You also get a short list of questions to take to your bookkeeper. No cost and no obligation. We reply within one business day.
We never log in to anything and we don’t need passwords. If you send a report, hide anything you don’t want us to see.
If you want our help after that, you get what we’ll do, the timing and the price in writing before you pay anything.
The platforms pay you what is left after fees, refunds, chargebacks and any money they hold back, and they pay on their own schedule. Amazon says it generally settles seller accounts every two weeks. So a deposit covers a stretch of time, not a day of sales.
Do you replace my bookkeeper or accountant?
No. We are not accountants or bookkeepers. They keep your books, file your taxes and give you advice. We prepare the payout comparison and notes they work from, and we talk to them if you say so.
Will this fix my tax form or my taxes?
No, and we don’t give tax advice. The IRS says the total before fees on a Form 1099-K isn’t adjusted for fees, refunds, shipping or discounts. Our payout comparison can show your accountant why that number and your bank deposits differ. What to do about it is their call.
Do you need my passwords?
No. For the free 1-payout trace we use what you show us on a call. If you become a client, you send reports or set up a limited view yourself. We never ask for your password.
What about refunds and chargebacks?
We list them on their own lines, separate from fees, so your bookkeeper can see each one. We don’t fight chargebacks for you. We show you where they landed.
What if I’m months behind?
We start with the latest closed month, so you see how it works. Catching up older months is quoted separately, in writing.
What does it cost?
The price depends on how many stores and marketplaces you sell on and how many payouts you get each month. You get it in writing after the free 1-payout trace, before you pay anything.
