For example, your store and a marketplace may show different stock counts, and your books may say something else. A customer buys the last one twice, and you cancel an order, refund the money and risk a bad review. We help keep your online store, marketplaces, accounting and business software matched. We check for errors on an agreed schedule, fix what we can and report the rest in a short monthly report.
We look at where your orders, stock and books disagree, and write it down.

Who it’s for
Small online sellers with a store on Shopify or WooCommerce, and often a second place to sell, such as Amazon, eBay or Walmart. Also shops that keep their books in QuickBooks or Xero, or run other business software (software that handles orders, stock and money) and re-type orders from one place to another.
Why this matters
A sold-out item is still an order.
When stock counts drift apart, you sell things you don’t have. Then you cancel. Marketplaces keep score.
AMAZON KEEPS SCORE
Cancelling orders counts against you
A March 11, 2025 Amazon seller-support post on the U.S. Seller Central forum lists an order defect target below 1% over 60 days. That measure counts negative feedback, A-to-z Guarantee claims and chargebacks. The post also lists a cancellation target below 2.5% over seven days. These shipping measures apply to orders the seller ships, not to Fulfilled by Amazon orders.
eBay’s seller standards policy says it counts a transaction defect when the seller cancels the order unexpectedly, for example because it was out of stock or sold to someone else. The policy allows up to 2% of transactions with defects in an evaluation period. For this defect measure, eBay says a Below Standard rating requires defects involving more than four different buyers.
We can’t stop every oversell or promise a marketplace account stays in good standing. Two buyers can still check out in the same minute, a stock count can be wrong because someone miscounted shelves, and each marketplace makes its own decisions. What we can do is remove the sync problems we can control, catch the rest sooner, and show you the numbers.
How it works
Match it. Watch it. Report it.
We start with what you have today: where you sell, which tools talk to each other, who counts the stock, and what happens when something sells.
One thing we look for first: product codes (SKUs) that don’t match between places, or a place that was never connected at all.
Already have a developer, an IT company or a sync app? We can work alongside them. You don’t have to replace anyone.
1
Find where it disagrees
We list every place you sell and keep records. We compare product codes, stock counts, prices and order flow, and mark the gaps, such as items that have a different code in each place.
2
Connect it and clean it up
We help set up or fix the connection between your store, your marketplaces, your accounting (QuickBooks or Xero) and your other business software. We also help you decide on safety margins for fast sellers so you don’t sell your last unit.
3
Watch the errors, report monthly
Sync tools sometimes fail on an order or a product. On the schedule in your plan, we look for those failures, fix what we can and tell you about the rest. Every month you get a short, plain health report.

Free stock-match call
Do all your places show the same stock?
Ask for a free stock-match call. You tell us where you sell, what you use for books, and how stock gets counted. You can read us a few product names and codes from your own screen or a printed list. Then we send a short, plain list of places where orders and stock could drift apart. The free check takes us no more than 30 minutes in total, including the call and the short summary. No cost and no obligation.
We reply within one business day.
If you want our help after that, you get what we’ll do, the timing and the price in writing before you pay anything.
Tell us your business name, which stores and marketplaces you sell on, and whether you use QuickBooks or Xero. Please don’t send passwords. We never need to log in for the call.
No. It can reduce cancellations caused by mismatched systems. Two people can still buy the last item in the same minute, and a miscounted shelf can still cause a cancel. Safety margins on fast sellers help, but nobody can promise zero.
Do I need new software?
Sometimes. Often the tools you already use can be connected or set up better. If something is missing, we explain what and why before you buy, and software fees are listed separately in your written quote.
Will my books match my sales?
We help get your orders into QuickBooks or Xero in a consistent way, so your bookkeeper isn’t re-typing them. How to record sales, fees and refunds, and what to do about sales tax, is a question for your accountant.
What if my product codes don’t match?
It is the first thing we look for. Items with different codes in different places often can’t be matched up until the codes are fixed. Cleaning them up is part of the setup.
Can you keep Amazon or eBay from suspending me?
No. Each marketplace makes its own decisions. We can cut down the cancels and errors that sync problems cause, and show you your numbers, but we can’t control what a marketplace does.
Do you need my passwords?
Not for the free call. If you hire us, we use your own tools’ permission settings to give us access, not your personal password. We agree in writing what we can see and change.
What does it cost?
The check-up is quoted after the free call, then there’s one monthly plan. The price depends on how many places you sell, how many products you carry and how often you want us to check. You get the price in writing before you pay anything.
