Missed Calls Losing You Customers? How to Answer More Business Calls
You are on a ladder, with a patient, or driving between jobs. The phone rings and you can’t get to it. By the time you call back, the customer may have called someone else. You may never know who it was or what the job would have been.
That is how missed calls can turn into lost customers. It comes down to a busy owner, a small team and a phone that rings at the worst moments. What you can control is where a call goes when nobody picks up.
Why Do Missed Calls Cost You Customers?
A caller may need something soon: a leak fixed, an appointment, a quick answer. Calls go to voicemail while you are on a job or closed, and some callers may hang up and try someone else.
Think about when calls at your business are most likely to go unanswered: after hours, on weekends, at lunch, or when every line is taken. If you know when your gaps are, you can plan for them.
There is also a new kind of caller. Google announced in May 2026 that AI Mode in the U.S. would start calling local businesses on a person’s behalf in select categories like home repair, beauty and pet care, with a rollout planned for the summer. When an AI is checking availability for a customer, a call nobody picks up can send that customer to someone else. Our phone assistant is set up to pick up when you can’t.
What Does a Caller Hear When You Can’t Pick Up?
Call your business from another phone and listen to what a customer hears. Before you change anything, find out what actually happens today. Things to listen for:
- The voicemail greeting still has old hours or a former employee’s name.
- The voicemail box is full, so the call just ends.
- The phone rings and rings with no voicemail at all.
- A phone menu sends people in circles, and there is no way to reach a person.
- Messages get left, but nobody checks them until the next morning.
You can only fix what you know about. A customer who gave up may never tell you, so listening for yourself matters.
How Can a Small Business Answer More Calls?
You may not catch every single call yourself. What you can do is plan where each call goes when you can’t. Here are the usual options, from simplest to most involved.
Agree who answers when. Write down who picks up at lunch, after hours and when everyone is on a job. If the answer is “nobody,” that is your gap.
Forward the calls you don’t answer. Many phone services can forward unanswered calls, or calls after hours, to another number. That might be a cell phone, a colleague or a staffed answering service. Ask your phone company what your plan allows.
Make voicemail work harder. Keep the greeting short and current. Say what details to leave and when you will call back. Then check messages at set times, and keep that promise.
Use a phone assistant. An AI phone assistant can pick up when you can’t, take the caller’s details and send you a summary. If you choose, and where your phone and calendar systems allow, it can also book appointments or pass urgent calls to your cell phone. Ours answers in English, Spanish or Russian, and it tells callers it is an automated assistant. It doesn’t replace you; it covers the calls you can’t take.
What to Ask Before an AI Assistant Answers Your Phone
A phone assistant is only as good as its setup. Before you switch one on, get clear answers to these questions:
- Will callers know it isn’t a person? It should tell them it is an automated assistant.
- What happens when it doesn’t know the answer? It should take a message rather than guess.
- Who checks its work? It can still make mistakes. A person should review its calls and fix wrong or awkward answers. We do that every month.
- Can I keep my number? Often, yes, because many phone services can forward the calls you don’t answer. Test the setup before it goes live.
- Are calls recorded? Calls may be recorded and transcribed so they can be reviewed. Florida law requires the consent of everyone on a recorded call, so decide with your provider how callers are told and how long records are kept, and have your attorney review it.
- What counts as urgent? Decide which calls should reach you right away and which can wait for a summary.
- Which languages do your customers speak? Test each one with real calls before going live.
Missed Call Checklist for This Week
Most of this needs only a phone and a notepad.
- Call your business after hours from a phone that isn’t your business line. Listen to everything a caller hears, start to finish.
- Call again at your busiest time. Does anyone pick up? If not, what happens next?
- Check that the voicemail box has room and the greeting has your current hours.
- Look at your missed calls from last week. How many did you return, and how long did each one wait?
- Write down who answers at lunch, after hours and on weekends.
- Ask your phone company whether unanswered calls can be forwarded to another number.
- Make a short list of what counts as urgent for your business.
